Vendors

PREPARED FOOD APPLICATION

MINIMUM REQUIREMENTS:

  • LOCAL FOOD: Vendors selling food with at least one locally grown/raised/produced farm product in their offerings each week are preferred to participate in this season’s market. Our reasoning for this is simple—we are a farmers’ market. We promote locally grown food. It only makes sense that the food vendors we invite to participate in this event embrace that and choose to buy and incorporate local food into their offerings. We also strongly encourage our vendors to showcase where that food comes from by naming some or all of the farmers/growers/ranchers/producers that you are sourcing from.

  • HEALTH & SAFETY: Vendors who sell prepared foods MUST follow all applicable laws and regulations for preparing and selling their foods. Foods sold at the market must be non-potentially hazardous, specificall exempted, or approved and licensed as a retail food establishment. Vendors cannot sell edible CBD products.

  • ZERO WASTE: The market is a Zero-Waste market. We require vendors selling products that are likely to be immediately consumed at the market to use compostable packaging and serve-ware certified by BPI, TUV, or Compost Manufacturers Alliance. No single-use plastics are permitted. For packaging and serving-ware resources, visit WhitefishFarmersMarket.org and visit the About > Zero Waste Market & Resources page.

SET-UP:

  • YOUR SETUP: Please describe your setup as best as possible in your application. Each vendor is assigned to one 10’x10’ space. Please do not use promotional flags or banners. If you are assigned a space on the lawn, no stakes may be used. Set-up begins at 3:30pm, no earlier, under the direction of the Market Manager. You will be notified of where you may load/unload for setup and where vendor parking is permitted during the market.

  • SELLING: Selling begins at 5:00, not before. Vendors may sell to other market vendors before 5:00. Vendors must stay set up until 7:30pm—this is both for the vitality of the remaining market vendors, and the safety of market-goers. Vendors are expected to attend every market (rain or shine).

PAYMENTS:

  • MARKET FEES: For each market, the Market Manager will collect a $1.00 site fee, plus 5% of your gross sales. Payment will be taken at the close of each market at the market tent from 7:30-8:00 p.m. only.

  • RESORT TAX: The City of Whitefish assesses a 3% Resort Tax on the sale of food intended for immediate consumption. Vendors are expected to remit the Resort Tax directly to the City of Whitefish. Resort Tax transmittal forms and a list of taxable items are available here: https://www.cityofwhitefish.gov/336/Resort-Tax

SELECTION:

  • APPLICATION: All vendors, including returning vendors, must complete the online registration form or submit this form by email (info@whitefishfarmersmarket.org) by the DEADLINE March 31, 2025. Click here to download the form.

  • SELECTION: Due to the success of the market, we have a limited number of spaces available for vendors. Preference will go to past vendors in good-standing and to vendors selling foods with locally-sourced ingredients. We will maintain a “wait list” of additionally approved vendors, and contact them if space becomes available later in the season. Approved vendors are expected to attend every market, all season. Approved applicants will be notified of acceptance to the market by April 30, 2025.

  • NOTICE: The Whitefish Farmers Market Committee reserves the right to accept or decline each vendor’s participation in the Whitefish Downtown Farmers Market and may suspend a vendors participation at any time for any cause.
